Resident communication

How to evaluate AI property management software
Four questions separate a controlled operator from a liability.
Does it ask before it acts?
AI that sends messages, creates charges or dispatches vendors without approval is a liability. Look for an approvals queue where every proposed action shows its reasoning and waits for a human yes.
Can you see why it did something?
Every AI action should carry its rationale, the records it used, and the result — an audit trail you can open later. A black box that 'handled it' is not acceptable when money and legal notices are involved.
Is your data isolated?
Your portfolio, tenants and documents must be scoped to your organization and never used to answer another company's questions. Ask how row-level isolation is enforced.
What is it not allowed to do?
Serious AI property management software has hard limits: it never moves money on its own, never issues legal notices, and never deletes records. If the vendor can't list the limits, there aren't any.

Will AI message my tenants without me knowing?
In Keyloma, no. Medium and high-risk actions require explicit approval in the Approvals queue — you see the proposed message, its reasoning and the records behind it before anything goes out. Low-risk, clearly permitted actions can be automated, and even then every action is logged.
Is my portfolio data used to train AI models?
No. Your data is scoped to your organization with row-level security enforced server-side. AI features retrieve only the narrow context needed for the task at hand — never another company's records.
Can AI move money or send legal notices?
No. Financial transfers, legal notices, permission changes and deletions are excluded from what the AI can do at all — not gated by approval, simply not available. Those stay with you.
