What is a tenant portal?

A tenant portal — also called a resident portal — is a private website or app where your renters pay rent, submit maintenance requests, read their lease documents and message your office. For independent property managers, it's the difference between structured operations and a phone that never stops.

Tenant portal, defined

A tenant portal is the resident-facing half of property management software. Your team works in the management side; tenants log into the portal side and see only their own lease, balance, requests and messages. “Tenant portal” and “resident portal” mean the same thing — the industry uses both.

Modern portals are mobile-first: most tenants will never open them on a desktop. Everything below happens from a phone.

How do tenants submit a maintenance request in a portal?

From the portal on their phone, a tenant describes the issue, adds photos or video, and submits. The request arrives in your maintenance queue already attached to their unit, with a suggested category and urgency. They can follow the status as your team works it.

How do tenants pay rent through a resident portal?

The tenant opens the payments page, sees the balance owed on their lease, and pays by card or bank transfer. The payment posts to their ledger, the balance updates, and both sides get a record. Autopay can be enabled so rent is collected on schedule without reminders.

Can a tenant cancel or update a maintenance request?

Yes. In Keyloma, residents can add information to an open request — a better photo, access instructions, a correction — and the activity stays on the record. Closing or cancelling a request is a staff decision, so nothing disappears without your team knowing.

Can tenants see their lease and other documents?

Only the documents you share. Lease documents attached to their lease and files you mark as visible to the tenant appear in their portal. Internal documents stay private to your team.

How do tenants get access to the portal?

You invite them. From the tenant record you send an invitation; the tenant receives an email with a sign-in link and temporary password, then sets their own password on first login. You can reset access or deactivate it at any time.
